Persicope has a strong commitment to the I.R.I.S product. The software was initially developed, in 1998, as an Environment Management System; over time, in response to client requirements, it evolved into a fully functional risk and auditing system.
The majority of client requirements are satisfied through forms configuration and report design. This is evidenced by the wide diversity of requirements from our current client base and our ability to fully satisfy their ongoing needs.
Driven by the client needs for risk management, compliance monitoring, incident reporting and the increasing need to facilitate the gathering of corporate information I.R.I.S has been further developed into an integrated business management system.
IRIS has been and will continue to be developed to satisfy client and market requirements as well as ensuring conformity with Australian and international standards.
I.R.I.S (Integrated Risk Information Software) has three fully integrated modules:
- Forms
- Task, and
- Calendar Management
The forms management module will allows I.R.I.S Customers to simply and efficiently create flexible risk forms (no programming required) that have real time data capture into the IRIS SQL database.
Either trained client staff or Periscope Consultants can undertake building risk and other forms. Risk forms include extensive and highly sophisticated security overlays that provide a range of access options. These range from fully anonymous access where forms may be completed without a need to login to the software, through to individual record security where a respondent will be required to provide a login and password to access an individual risk.
Validation of data is undertaken through a range of data field options including restriction of data by type (date, numeric, alpha, codes, tables). Risk rating calculations are fully configurable and may be set to satisfy the myriad of methods and calculations used by organisations. Ratings may be based on qualitative or quantitative risk assessments.
Most significantly, the data from risk forms can be exported, immediately from the data store, on a discretionary basis to an Excel spreadsheet for instant analysis. Risk may also be imported from an Excel spreadsheet as new system records or may overwrite existing risks. I.R.I.S can coexist with Excel. All fields in a Risk forms may be configured by the client to be filterable fields. By applying filters (within user security profiles) precise risk information can be retrieved for on screen analysis or for export to Excel spreadsheet. This may be a list of risks by accountability, assessment or category.
Key features of the Forms:
- Ability to set and amend without any programming.
- Decisions trees to guide users to predefined questions, messages, data fields and tasks.
- Ability to secure sections of the form so confidential and sensitive information is protected.
- Ability to allocate triggers and warnings depending on level of criticality and types of responses.
- A sophisticated security regime that can be applied at the system, user, survey or individual record levels.
- Option, if desired, to allow access to a survey form without requiring system access.
- Once submitted, user has no further access.
- Access through either an I.R.I.S login or a URL shortcut/link allowing anyone with internet access to enter data into the form.
A simple form may take as little as an hour to be created with the more complex surveys around a day.
Task Management
Task management is central to the I.R.I.S software. This is where accountability to mitigate a risk or undertake a specific action is allocated. A task may, depending on the clients requirements:
- Be linked to one or many risks
- Include attachments or links to documents such as standards, policy documents, compliance obligations or statutory/regulatory requirements
- Include task status as determined by the client ie Completed, In Progress, Partial Compliance
- Be set as an ongoing recurring action
- Include a task criticality rating
- Enforce escalation based on criticality
- Include master and delegate tasks which allow for the one task to be allocated to many sites/positions across the organisation
- A master task is not complete until all delegates have completed their tasks
- Be cloned to reduce data entry Include tasks within a task such as eg.checklists
- Includes a full audit trail including a history of all task actions
To allow adequate levels of organisational stewardship, task responsibility can easily be reallocated should there be a restructure, staff changes or reallocation of responsibilities.
Calendar
The calendar tells the user what needs to be done (task), by when and the current status of a task. The calendar is configured to highlight the task status through the use of colour.
The following screen shot shows the I.R.I.S Calendar with Pop Up legend. Colours and status are set to the clients requirements by the system administrator.
I.R.I.S includes extensive filters that can be applied to the calendar. By applying filters (within user security profiles) the display of tasks can be restricted so users receive a precise list of tasks relevant to their work or position. On login a user can very quickly see what is on the immediate work horizon and through the colour legend, what is critical.
The email alert/notification is configured by the system administrator to delver messages in the language that meets the organisations cultural expectations, scheduled in accordance with predefined rules for notification and escalation.
